CHARACTERISTICS OF THE CLASS

Under the supervision of the Support Services Commander this position performs a wide range of clerical tasks which require the application of some independent judgment and clerical knowledge. Work involves standard clerical duties including typing, filing, sorting, office machine operation, and maintenance of records. Work is reviewed by observation and for results obtained. Special operational skills will generally be acquired by on-the-job training. Performs other work as required.

 

EXAMPLES OF DUTIES

A. ESSENTIAL FUNCTIONS

Types routine correspondence and other office related documents.

Answers telephones and acts as receptionist, secures information from a variety of sources.

Sorts and files correspondence and reports, alphabetically/numerically.

Sorts and distributes mail, functions as mail clerk.

Uses personal computer to enter data into complex data entry system.

Operates a variety of office and related equipment.

B. MARGINAL FUNCTIONS

Assists the Senior Secretary in the Criminal Investigation Division

 

REQUIREMENTS

A. TRAINING AND EXPERIENCE

High School diploma or GED supplemented by courses in business office practices, and two years general office experience at the full performance level or any equivalent combination of acceptable education and experience. Typing test from Brevard Workforce must be submitted with employment application to be considered. Must meet Criminal Justice Information System and Melbourne Police Department background requirements and maintain compliance throughout employment.

B. KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of current office practices, methods and procedures.

Knowledge of business English, spelling, and arithmetic.

Ability to maintain records and to prepare reports from such records.

Ability to perform clerical work of routine difficulty.

Ability to operate a variety of modern office equipment, with a large emphasis on computer skills. Use of Microsoft Office, including Work and Excel is required.

Ability to learn complex tasks and remember how to complete tasks without assistance once trained.

Ability to establish and maintain effective working relationships with others.

Ability to operate a personal computer for data-entry and word processing.

Ability to type with speed and accuracy.

C. PHYSICAL AND MENTAL REQUIREMENTS

Ability to hear, speak and understand conversation in English in a normal tone of voice in person and on the phone.

Ability to see and read letters, numbers, words, characters or symbols, both large and small, as well as identify colors.

Ability to print and draw letters, numbers, words, characters and symbols – must be legible and understood by others.

Ability to stay in a bending, kneeling, or squatting position for periods of less than 10 minutes.

Ability to go from a standing or sitting position to a bending, kneeling or squatting position, or vice-versa, periodically.

Ability to remain standing or sitting for periods in excess of thirty minutes.

Ability to move back and forth and sideways while in a bending, kneeling or squatting position.

Ability to operate a personal computer for data-entry and word processing.

File numerically and alphabetically.

Ability to retrieve files from overhead and floor level.

Manual dexterity to sort through and file large quantities of paperwork.

Load copier with paper and toner, and remove paper jams by bending, kneeling, and reaching.

Use copier, telephone, personal computer, printer, calculator, and FAX machine.

Learn complex tasks and remember how to complete tasks once trained.
