CHARACTERISTICS OF THE CLASS

Under the direction of the Risk Manager, performs specialized and responsible work. Incumbent is responsible for relieving the Division Head of operational and administrative details and works with considerable independence within the scope of established policies and procedures. Position requires discretion and diplomatic skill in representing policies and working effectively with City personnel, officials, and the public. Performs other work as required.

 

EXAMPLES OF DUTIES

A. ESSENTIAL FUNCTIONS

Draft and type correspondence and reports for the Risk Management Division.

Types transcription from tape, verbal or written communication.

Schedules meetings, conferences, and appointments.

File maintenance and access of all related departmental documents, records, reports, budget, notices, agendas, contracts, policies, procedures and data.

Type travel requests, secure reservations, and maintain itinerary for travel.

Type and process payment vouchers, obtain price quotes for supplies, materials and other necessary items.

Prepare and maintain litigated case files.

Enter and input claim policy, program and contract data. Prepare informational packages, handout materials and other communications.

Answer telephone and take messages. Handle telephone questions and refer to appropriate party or parties.

Responds to inquiries employees and public concerning auto, property, and casualty claims.

Monitors casualty claims to assure validity and coordinate with appropriate City departments, claim adjusters and administrators.

Process auto, general and contractual liability claims.

Complete mathematical calculations.

 

REQUIREMENTS

A. TRAINING AND EXPERIENCE

Education equivalent to completion of the twelfth school grade, three years of progressively responsible secretarial or paralegal experience involving casualty and health/life insurance, claims handling, or any equivalent combination of acceptable training, education and experience. Must possess a valid State of Florida Drivers License. Applicants who possess a valid out of state driver’s license must obtain the Florida driver’s license within 10 days of employment.

B. KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of business English, spelling, punctuation, and mathematics.

Knowledge of office procedures and practices in planning and organizing work to meet goals and objectives.

Knowledge of insurance, contracts, agreements, third & first party claims, and legal actions.

Knowledge of methods, procedures and techniques for conducting statistical research.

Knowledge of insurance law and regulations.

Skill in the use of a personal computer and various applications programs.

Ability to make independent decisions and to assist in routine managerial decisions.

Ability to work effectively and courteously with the public and other employees.

Ability to communicate effectively, both orally and in writing.

Ability to follow complex written and oral directions.

Ability to carry out a wide scope of clerical procedures.

Ability to compose effective and accurate correspondence and reports.

Ability to organize technical data.

Ability to deal with non-routine matters.

Ability to operate modern office equipment such as a copier, microfilm, computer terminal, word processors, calculator, dictaphone, telephone, fax machine and typewriter.

Ability to type with speed and accuracy.

C. PHYSICAL AND MENTAL REQUIREMENTS

Ability to type on computers and typewriters for extended periods of time without rest and at a fast speed.

Ability to see, read, write, and type messages, files, forms, labels, etc, in the English language.

Ability to kneel, squat, sit, and stand for extended periods of time without rest.

Ability to lift and carry packages that weigh up to 20 pounds.

Ability to work under pressure of deadlines.

Ability to work accurately in a noisy and stressful environment.

Ability to reach and grasp objects.

Ability to stand and walk when going to copy room, retrieving mail, and delivering correspondence to other divisions.

Ability to hear when required to answer phones.

Ability to speak English when communicating with co-workers and the public.

Ability to use fingers, hands, and wrists while operating various office machines and writing messages.

Ability to print or write legibly when taking messages for other staff.

Ability to handle stress when working with deadlines.

Ability to work regularly scheduled hours with little moderation.

Ability to work in confined spaces or small working areas.
